Which numbers should a med spa owner track every week?

By the partners at Shefa Atelier ·

The short answer

Track a handful of numbers weekly: new enquiries, speed to first response, consultations booked and held, consult-to-treatment conversion, rebooking at checkout, provider utilization and marketing cost per new client. Fewer numbers reviewed every week beat a large dashboard nobody reads.

A weekly scorecard that fits on one page

  • New enquiries, by source (calls, forms, messages, walk-ins).
  • Speed to first response — how long enquiries wait before a person replies.
  • Consultations booked, and consultations actually held (no-shows matter).
  • Consult-to-treatment conversion, per provider or coordinator.
  • Rebooking rate at checkout.
  • Provider utilization — booked hours as a share of available hours.
  • Marketing spend divided by new paying clients.

How to review it

Same day, same time, every week, with the people who can change the numbers. Look at the trend over four to eight weeks rather than reacting to a single week. Agree one action per meeting and check it the following week.

Keep it honest

Numbers only help if they are collected the same way every week. Decide definitions once — for example, what counts as a “held” consultation — and write them down.

Never put patient information into these reports. Business-level counts are all you need.
