How do I fill empty provider hours at my med spa?

By the partners at Shefa Atelier ·

The short answer

Look first at why the gaps exist — schedule design, no-shows, low rebooking or uneven demand by day — then fill them in order: rebook existing clients, use a waitlist, contact lapsed clients, and only then promote quieter times to new clients.

Find the pattern

Pull four weeks of calendars and mark every unbooked hour by provider, day and time. Gaps that cluster on certain days or with certain providers need different fixes from gaps scattered everywhere.

Fill from the inside out

  • Rebook at checkout, especially into known quiet times.
  • Keep a waitlist of clients happy to come in sooner.
  • Reach out monthly to clients overdue for a visit.
  • Adjust provider schedules to match real demand.
  • Promote specific quiet times to new clients last, not first.

Measure utilization weekly

Booked hours as a share of available hours, per provider, is one of the clearest measures of whether payroll is producing revenue. Review it with your weekly numbers.
